BEFORE YOU START
  • Define attendance and separate administrative actions from medical findings.
  • Review recipients, small groups, and attachments before distributing the update.
  • Send an operational summary separately from clinical or statutory reporting.

Write an operations update

Here is a fictional example you can copy: “This week, 50 employees had appointments. Of those, 42 attended, six have confirmed replacement appointments, and two are awaiting contact. Please approve release time for the six confirmed appointments on [date]. The coordinator will update the remaining two by [date].”

The three groups add up to the original 50. Define attended as checked in for the session. It says nothing about clinical completion, findings, work restrictions, or a need for referral. Keep a separate, access-controlled scheduling list for the coordinator who actually needs to contact the remaining employees.

Give clinical questions their own route

Agree before the session how employees receive their own results and can ask a qualified clinician about them. Also agree which designated occupational health professional handles any work-related clinical recommendations. A scheduling coordinator who receives an individual result by mistake should follow the organization's procedure and contact the privacy or clinical lead rather than forwarding it to a management group.

The Philippine Data Privacy Act includes health information within sensitive personal information. Its implementing rules describe proportionality: consider whether the stated purpose can be fulfilled with less personal information. Ask your privacy and clinical leads to identify the applicable basis, authorized recipients, safeguards, and any required reporting for your establishment. An operations summary does not replace a separately required report.

Check small groups and the attachment

A name-free table can still reveal a person when a shift has only one member. Consider reporting across a larger group, omitting a breakdown, or giving the decision-maker only the scheduling action. A universal minimum group size would not account for what local colleagues already know.

Before sending, ask: What decision will this enable? Do the totals reconcile? Could the combination of site, role, and shift identify someone? Is the correct recipient selected? Open the actual attachment and check all tabs for names, hidden columns, notes, or test results. A clean summary in the email is of little help if the workbook underneath contains the roster.
