- Build the roster around clinician-approved times and actual shift coverage.
- Allow for the entire journey, not just minutes spent in the testing room.
- Keep spare capacity visible and give someone responsibility for changes.
Set the limits before assigning names
Ask the clinical lead which appointment windows suit the purpose of testing. NIOSH distinguishes baseline and subsequent monitoring, including their timing considerations. Let the provider supply the preparation and timing instructions for your program. Then ask each supervisor how many workers can be released at once and which duties need cover.
Count the employee’s whole absence: travel to the clinic, check-in, the appointment, and the return journey. A provider might have an available slot while a department has no one available to cover a particular role. Mark these constraints on the roster before inviting employees.
Worked example: 30 people, three shifts
Assume there are ten employees per shift. In this hypothetical example only, the provider approves three separate blocks at suitable times, with twelve individual slots per block. Each shift can release two people at once with cover. That gives the coordinator ten planned visits and two unassigned slots in each block.
- Block A: assign the ten early-shift employees to five pairs. Release the next pair only when the agreed cover is back in place.
- Block B: repeat for the late shift, checking that named relief staff are available for each pair.
- Block C: agree a suitable block and transport arrangement with the night team. Do not assume an off-shift appointment works for everyone.
- Reserve: leave the final two slots in each block unassigned for provider-approved adjustments. If no adjustment is needed, release them as agreed.
Test the timetable against real travel and delays
The arithmetic works only if each pair can complete the journey and return before the next release. Compare the actual slot spacing with travel and relief time. If the example is too tight, reduce the number booked per block, arrange additional cover, or request another session. Do not shorten the provider’s appointments to rescue the roster.
Give one person authority to coordinate changes with the provider. Send supervisors the release times and employees their individual appointment details. Keep a small count of available, assigned, and completed slots; if a delay develops, contact the remaining employees before they leave their stations.
